Greet owners by name when they call
Owner Management → Greet owners by name~5 min
Give every owner a named account manager, and your phone will recognise them, greet them by name and property, offer to put them straight through, and text them a booking link if the call doesn't connect.
Steps
4 steps- 1Open Owner Management. In the header, set the workspace default Account mgr — this is who owners reach when no one more specific is assigned.
- 2For any owner who should reach someone else, open their record and set their own Account manager. This per-owner choice always wins over the default.
- 3Switch on Greet owners by name in the same header row.
- 4Call your main number from a phone number that is on an owner's record to hear it.
If something's off
- If an owner still hears the standard greeting — the number they called from isn't on their record. Add it to the owner's phone field — matching is on the last 10 digits, so formatting doesn't matter. A number saved only on their original enquiry also works.
- If you want to trial it on one number before every owner hears it — ask support to add your own mobile to the pilot list. While that list has anything in it, only those numbers get the personalised greeting and everyone else hears your standard one.
- If nobody is set as account manager — the greeting stays off for that owner and they hear the standard opening. The feature never offers to connect a caller to somebody who isn't there.
- If the owner has several properties — one or two are named aloud; beyond that the greeting says how many they have with you, rather than reading a long list down the phone.
- If the account manager doesn't pick up — the owner is texted a link to book time, sent from the account manager's own number so a reply lands in their thread. The greeting only promises that text when a line exists to send it from.
- If you want the booked call to appear on someone else's calendar — change that owner's account manager. Self-booked owner calls follow the owner's account manager first, then your workspace default.
- If an account manager says they never heard about a booking — check Team Hub — they get a direct message the moment an owner books, alongside the email and calendar invite.
