Understanding your property inspection summary

Your property manager inspects the home against a fixed safety and readiness checklist, then sends you a summary of anything that needs attention. Here is what the email means, which items are yours to pay for, and what to do next.

6 steps- 1Read the first paragraph. The most important finding is stated first — everything after it is in descending order of urgency.
- 2Each item is a specific check that did not pass, in the inspector's own words. Nothing in the list is an estimate or a guess; if it is named, it was observed on site.
- 3Items divide into two kinds: things the OWNER supplies (smoke and CO detectors, fire extinguisher, water heater and HVAC access, entry hardware) and things the MANAGER handles (lockbox and codes, WiFi posting, guest supplies). Your summary only asks you about the first kind.
- 4Reply to the email to approve a fix, ask for a quote, or say you will handle an item yourself. A reply reaches your manager directly.
- 5Ask for the walkthrough video if you want to see something for yourself — your manager can send a link that opens in any browser with no login.
- 6Safety items (detectors, extinguisher, a lockout risk on the entry door) should be approved the same day. A home cannot take guests without them.
If something's off
- If you disagree that an item failed — reply and say so. The inspection has photos and, usually, a narrated video for that room — your manager can show you the evidence.
- If you would rather use your own contractor — say so in your reply before work is scheduled. Once a work order is raised the job may already be booked.
- If the summary says everything passed — no action is needed. You will hear again after the next inspection.
- If you cannot open a link your manager sent — ask for the walkthrough video link specifically. Some links are internal to the management team and will ask you to log in.
- If you want the full checklist, not the summary — ask your manager — the complete pass/fail list with photos exists and can be sent to you.
